Position: Secretary, Director of School Nutrition

 

PRIMARY PURPOSE:

 

Facilitate the efficient operation of the school nutrition department and provide clerical services to the director of school nutrition. Handle confidential information and frequent contact with all levels of district personnel, outside agencies and the general public.

MAJOR RESPONSIBILITIES AND DUTIES:

  1. Organize and manage the routine work activities of the school nutrition office.
  2. Receive incoming calls, take reliable messages and route all too appropriate staff.
  3. Provide general secretarial support to the department director and coordinators.
  4. Manage department payroll and required personnel forms, including but not limited to reviewing and verifying hours worked for non-exempt employees, preparing weekly payroll report for director approval, managing time clock records, maintaining accurate employee absences and monitoring over-time hours.
  5. Manage and maintain all employee personnel files.
  6. Manage and maintain procurement documents for goods and services including but not limited to requesting vendor forms, obtaining quotes, entering requisitions, verifying receipt of goods and services, preparing invoices for payment, obtaining director’s approval for payment, and submitting documents to accounts payable.
  7. Maintain monthly revenue and expenditure reports by campus.
  8. Maintain files for the director of nutrition and the department, and act as the department’s Records Management Liaison.
  9. Assist in the planning and preparation of budgets for the school nutrition department.
  10. Assist in compiling information for preparing various reports for the department.
  11. Set up meetings including reserving the venue, preparing materials, and arranging for refreshments and catering as needed.
  12. Greet visitors and respond to inquiries from staff and public. Refer appropriate inquiries or problems to Director.
  13. Demonstrate initiative by recognizing needs of the job and suggest ways to improve efficiency and productivity.
  14. Promote positive school, community, and employee relations.
  15. Demonstrate cooperation by working effectively with others including supervisors, peers, district staff and the public.
  16. Receive, sort and distribute mail and other documents to other department staff members.
  17. Maintain supply inventories and records pertaining to supplies ordered and distributed to the campus cafeterias.
  18. Demonstrate good attendance and professional demeanor.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours; occasional districtwide travel

The district contributes $400/monthly to the cost of "employee-only" health insurance which is $175/monthly greater than the state required amount of $225/monthly.
