Position: Specialist, Human Resources
Primary Purpose:
Provide support for daily human resource (HR) operations. Handle routine HR inquiries and provide responsive and knowledgeable assistance to employees. Assist in facilitating the efficient operation of the human resources office and provide clerical services to the human resources administrators.
Education/Certification:
- High School diploma or equivalent
- Advanced clerical experience or certification preferred
Special Knowledge/Skills:
- Proficiency in keyboarding and file maintenance
- Ability to use software to develop spreadsheets, databases, and do word processing proficiently
- Ability to operate a variety of computer programs
- Excellent, effective communication (verbal and written), organizational and interpersonal skills
- Knowledge of school district organization and operations preferred
- Ability to work with employees and applicants in stressful situations
Experience:
- Three years of clerical or secretarial experience, preferably in a public education or human resources environment
- Experience in maintenance of personnel records preferred
Major Duties and Responsibilities:
HR Support
- Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors. Explain HR policies and practices to employees, as appropriate.
- Maintain HR information database to ensure that employee information is accurate, current and reliable.
- Assist in maintaining position control system in an accurate and timely manner. Reconcile job descriptions with position control to ensure that there is a job description for every job. Follow up with supervisors to make certain that job descriptions are reviewed and updated on a regular basis.
- Assist the HR Department in maintaining the online applicant system.
- Receive and process applications, including verifying completeness of files and assist in notifying those not selected for employment.
- Work collaboratively with HR Department members to process applicant and employee information.
- Process new hire paperwork including criminal history information, references, and other application materials.
- Support the maintenance of E-Finance for employees, including position control, assignment calendars, job/account codes, and hiring recommendations.
- Establish, organize, and maintain personnel records and files for employees.
- Handle confidential information and frequent contact with all levels of district personnel, outside agencies and the general public.
Reports and Correspondence
11. Prepare, review and post job vacancy announcements and advertisements.
12. Prepare, maintain, and distribute employee handbook as directed.
13. Prepare correspondence, forms, and reports according to district standards and requirements.
14. Develop and prepare statistical spreadsheets, as needed.
Other
15. Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
16. Greet visitors and assist employees and applicants to complete applications and required paperwork.
17. Assist with the preparation and distribution of employment contracts as needed.
18. Maintain confidentiality of information in all areas of Human Resource.
19. Keep informed of and comply with all state and district policies and regulations regarding job functions.
20. Follow district safety protocols and emergency procedures.
21. Perform duties as assigned by the Human Resources Executive Director and/or Director.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Frequent walking, standing, bending/stooping, and reaching; occasional pushing/pulling and twisting

Lifting: Occasional light to moderate lifting and carrying (less than 44 pounds)
Environment: May work prolonged or irregular hours

Other Information
The district contributes $400/monthly to the cost of "employee-only" health insurance which is $175/monthly greater than the state required amount of $225/monthly.
Pay Grade: Paraprofessional PG 7, 12 duty-months (240 Days)
Minimum: $19.51 hourly / $37,459 annually
Midpoint: $23.50 hourly / $45,120 annually
Maximum: $27.49 hourly / $52,781 annually |
