Position: Secretary, Executive Director of Special Programs
PRIMARY PURPOSE:
Facilitate the efficient operation of the special programs department and provide clerical services to the Executive Director of Special Programs. Handle confidential information and engage in frequent contact with all levels of district employees, outside agencies, and the general public.
QUALIFICATIONS:
Education/Certification:
- High school diploma or GED
- Advanced clerical training courses preferred
Special Knowledge/Skills:
- Proficient skills in typing, word processing, file maintenance and computer skills
- Excellent organization, communication, and interpersonal skills
- Knowledge of school district organization and operations preferred
Experience:
- Three years or more of advanced secretarial experience preferably in a public education environment
MAJOR RESPONSIBILITIES AND DUTIES:
- Organize and manage the routine work activities of the Executive Director of Special Programs.
- Prepare correspondence, forms and reports for the Executive Director and other department staff.
- Maintain local and federal grant budgets, including on line purchasing and reporting for Idea-B Formula, Idea-B Preschool, SHAC grants and discretionary accounts.
- Receive incoming calls, take reliable messages and route all too appropriate staff.
- Receive, sort and distribute mail and other documents to other department staff members.
- Maintain a schedule of appointments and make travel arrangements for the Executive Director.
- Maintain confidentiality of information for all federal programs.
- Set up meetings including reserving the venue, preparing materials, and arranging for refreshments and catering as needed.
- Maintain records for contract personnel and handle requisition for payment of services.
- Register all special programs staff and/or SPED teachers; process travel reimbursements.
- Gather all records and information for state reporting for all nursing reports to include vision, hearing, spinal screenings and immunizations.
- Keep Eduphoria information current for all in-district professional development.
- Process extra duty.
- Greet visitors and respond to inquiries from staff and public. Refer appropriate inquiries or problems to Executive Director.
- Keep informed of and comply with all district policies and regulations concerning primary job functions.

- Perform other duties as assigned by Executive Director of Special Programs.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours; occasional districtwide travel

The district contributes $400/monthly to the cost of "employee-only" health insurance which is $175/monthly greater than the state required amount of $225/monthly.
Pay Grade: Paraprofessional, Pay Grade 5, 240 Days
Minimum: $17.30
Midpoint: $20.85
