Position: Specialist, School Nutrition (Applications and Invoices)

 

Primary Purpose: 

Assist in facilitating the efficient operation of the school nutrition department and provide clerical services to the director of school nutrition.  Handle confidential information and frequent contact with all levels of district personnel, outside agencies and the general public.

 

Education/Certification:

• GED/High School Diploma preferred
• Advanced clerical training preferred


 

Special Knowledge/Skills:

  • Proficient skills in typing, word processing, file maintenance, computer technology including Microsoft Office applications and use of general office equipment
  • Excellent communication, interpersonal and organization skills
  • Possess demonstrated bookkeeping skills
  • Knowledge of school district organization and operations preferred

 

Experience:

Two years or more of secretarial experience preferably in a public education environment

 

Major Responsibilities and Duties:

 

  1. Manage the Free and Reduced Meal Applications including approval and processing of applications, entering information into department software, providing eligibility information to PEIMS coordinator and campus administrators, communicating to managers of updated student eligibilities, mailing notice letters to parents, organizing, filing, and maintaining of records.
  1. Coordinate the Free and Reduced Meal Application Verification Process with the School Nutrition Director and report results to the Texas Department of Agriculture.
  1. Maintain confidentiality of information for all areas of the department.
  1. Assist the director’s secretary in the routine activities of the School Nutrition Office.
  1. Receive incoming calls, take reliable messages and route to appropriate staff.
  1. Greet visitors and respond to routine inquiries from staff and public.
  1. Sort and verify all cafeteria invoices for correct prices.
  1. Contact companies for invoice corrections and bookkeeping details.
  1. Prepare cafeteria invoices for payment, matching invoices with statements.
  1. Input financial costs for cafeteria bills into computer and provide reports to director.             
  1. Prepare the end of the month billing statements for payment and take to Accounts Payable office.
  1. Coordinate rebate and special promotion programs, such as Cool School.
  1. Organize the ordering and purchasing of department uniform shirts.
  1. Exhibit reliability by completing work as assigned and meeting project times.
  1. Comply with policies and procedures pertaining to job assignment.
  1. Function as department secretary in School Nutrition Secretary’s absence.
  1. Promote positive school/community relations.
  1. Demonstrate dependability by being punctual and present at work unless for good cause.
  1. Demonstrate initiative by recognizing needs of the job and suggesting ways to improve efficiency and productivity.
  1. Exhibit appropriate grooming and dress for the position.
  1. Seek to improve job performance through self-assessment, skill development, training and goal setting.
  1. Perform other duties as assigned by the Director of School Nutrition.

 

Mental Demands/Physical Demands/Environmental Factors:


Tools/Equipment Used: Computer, printer, copier, fax machine and calculator.
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hoursoccasional districtwide travel

Mental Demands: Reading; ability to communicate effectively (verbal and written); ability to operate computer, work with frequent interruptions; maintain emotional control under stress

 

Other Information:

The district contributes $400/monthly to the cost of "employee-only" health insurance which is $175/monthly greater than the state required amount of $225/monthly.

 

 

 

Pay Grade: PG 4, 240 Days 

 

Minimum    $15.45 hourly / $29,664 annually

Midpoint    $18.62 hourly / $35,750 annually

Maximum  $21.78 hourly / $41,818 annually
